The brief

A government convention in Singapore brought official delegations into the city for a tightly scheduled programme. Every delegation moved on a fixed agenda between hotels, the convention venue and official engagements, and the organisers needed the arrivals to look as orderly as the programme itself. The request was clear: a coordinated convoy of more than 40 cars over 8 days, identical in presentation, staged on time and able to move as one unit or split into smaller groups at short notice.

Planning and logistics

We started from the official agenda rather than from the cars. Each movement was mapped into a single run sheet with pickup points, departure times, drop-off bays and the order in which the sedans would arrive at the venue. Routes and staging areas were checked in advance, so every chauffeur knew where to wait, where to queue and how to rejoin the line after a drop-off.

All the cars were matched in model and presentation, cleaned and checked before each day of the programme began. Chauffeurs were briefed together on the programme, the venues, dress code and guest protocol, and each was given a fixed position in the convoy. Standby drivers were kept on call so a single change would never hold up the whole line.

How each day ran

  • Early staging: the convoy assembled in a designated bus lane well ahead of the first departure, parked nose to tail in convoy order.
  • Timed departures: sedans pulled forward in sequence as each delegation was ready, keeping the kerb clear and the queue moving.
  • Live coordination: our 24/7 desk tracked every car, and each chauffeur confirmed pickup and arrival in real time.
  • Changes absorbed: when timings shifted, cars were re-sequenced from the run sheet instead of improvised at the kerb.
  • One point of contact: the organising team had a single coordinator on WhatsApp throughout the programme.

The outcome

Delegations were collected and delivered on schedule, and the convoy presented as a single, uniform line at every arrival point. Because the sedans were identical and every chauffeur worked from the same run sheet, any car could cover for another without the change being visible to guests. The organisers spent their time on the programme, not on the transport.

What this means for your event

The same approach scales up or down, from a handful of cars for a visiting delegation to a full convoy for a summit or conference.
